Job Description

The purpose of this role is to deliver a high-quality business support and administration service to the Council. Specifically, this role will undertake administrative and customer support duties for Ukrainian and other refugees arriving and being re-settled in Aberdeen City.

Requirements

The post holder needs to hold as a minimum:

Standard Grade qualifications or equivalent experience

Responsibilities

The post holder is expected to demonstrate:

Provide administrative support to the refugee re-settlement team 

Processing to a high degree of accuracy essential data regarding customers and safeguarding work undertaken in support of these customers

Maintaining a variety of funding schedules for customers who require support at a time of crisis

Co-ordination and collation of data to populate these funding applications

Provide frontline support to customers by telephone to ensure they are directed to the appropriate support at a time of crisis

Monitoring of a shared email account and dispersal of information to volunteers, partner organisation and sponsors as required

Work to ensure agreed processing times and quality targets are consistently met

Communicate and collaborate with both internal and external customers to fully understand their requirements, deliver on agreed services and resolve any issues arising

Use data and records to provide detailed reports to Services, including co-ordinating and collating information for financial monitoring purposes

Proactively raise issues and collaborate across the team to devise improvements and support the Team Leaders to manage demand

Share key management information with Business Services Team Leaders, including escalating risks and issues for intervention

Report agreed performance metrics such as service usage levels, volumetrics and the financial value of transactions
