JOB PURPOSE

The Project Assistant has responsibility for undertaking or complying with the following:

  • Project tasks
  • Quality Compliance
  • Health & Safety
  • PRINCIPAL ACCOUNTABILITIES

    Carrying out specific tasks to ensure that projects meets the time, cost and quality requirements. This may include but not be limited to:

  • Supporting the management, tracking and controlling of projects
  • Setting up project files and templates
  • Assisting with the preparation and maintenance of other key project documents as required such as Project Execution Plans, Resource plans, internal and external reports, etc.
  • Assistance in raising Contractual Variation and Compensation Event Notices
  • Assistance in planning and producing minutes for key internal and external meetings
  • Ability to meet deadlines
  • Timely placement and progressing of orders to ensure stock levels are maintained & parts are available for
  • Progressing customer / supplier communications in a timely manner
  • Sales Order Processing & Invoicing
  • Efficient general office operations
  • Assisting bid teams to define the project scope and determine requirements
  • Assistance with the generation of resourced and costed schedules of work
  • Contributions to tender/quotation preparation
  • Complying with JFN’s quality policies and procedures, with particular emphasis on:

  • Project procedures
  • Document numbering and control
  • LTQR compilation
  • Assisting with preparation of Quality Plans
  • Complying with JFN’s health and safety policies and procedures, with particular emphasis on:

    Taking reasonable care for own health and safety and the health and 

  • safety of others
  • Reporting all accidents and near misses to their Line Manager or Safety Representative.

    And any other tasks that are required from the project manager.

    KEY SKILLS AND COMPETENCIES

  • Ability to manage own workload and to work independently in order to deliver against tasks
  • Ability to read, understand and work to procedures and standards
  • Ability to work as part of a team and where possible assist other members of staff
  • Good written and oral communication skills
  • Highly orderly, methodical and process driven
  • Good interpersonal, organisational and time management skills.
  • QUALIFICATIONS AND EXPERIENCE

  • A minimum of 5 GCSEs
