As world recognised maritime safety and environmental experts, RightShip has an exciting vision to expand its market share and influence in safety, environmental and social outcomes in the maritime industry.

RightShip is looking to strengthen our small team to ensure the day to day operation of the London office is supported in an efficient and timely manner. The incumbent will be responsible for a wide range of supporting tasks to the Office Manager EMEA and Head of EMEA.

This role reports to the Office Manager EMEA.

Major Responsibilities 

Reception Duties

Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.

Answering, screening and forwarding incoming phone calls.

Receiving and sorting daily mail.

Maintain office security by following safety procedures and controlling access via the reception desk.

Oversee room booking calendars and coordinate conference room set-up, catering, A/V and other logistical arrangements

Business Support

Organise external meetings which may involve our business partners, stakeholders and customers.

Organise internal meetings – both face to face and virtually across multiple time zones.

Support the team with travel itineraries to include researching of flights, trains, hotels and local amenities.

Expenses. Submit expense reports and reconciliation on behalf of the London Management team.

Office Support

Work closely with the Office Manager and Head of EMEA to support the effective running of the EMEA functions to provide an optimal working environment and promote a culture of wellbeing and professionalism.

Support the Office Manager with the day to day running of the office, such as organising couriers, reviewing post, stationery orders, kitchen stocks as well as general ad-hoc tasks.

Assist in arranging, managing and hosting social, business or other events as required

Assist with the on-boarding of new employees and contractors, and associated tracking as well as assist in offboarding activities.

Coordinate workload with the Office Manager and provide back up support and cover when Office Manager is on leave.

Keep team records up to date to include office attendance, IT equipment audit register, contact details, birthdays and key dates.

Qualifications, Skills & Attributes

A good level of education to GSCE or equivalent.

Experience of working in and supporting a team.

A sound understanding of the MS Office suite.

Great attention to detail with the ability to take on multiple tasks.

A self-starter, able to work unsupervised but who welcomes the shared benefit and responsibility of teamwork.
