Main duties of the job

  • To assist the CHC Team Administrator in all aspect of administration relating to NHS Continuing Health Care (CHC), Funded Registered Nursing Care (FNC) discharge from hospital and delayed transfers of care and any schemes associated with CHC/CHC bidsĀ 
  • To demonstrate advanced knowledge of Microsoft software and produce complex reports and graphs for Management.
  • The post holder deals with the provision of a high level of confidential and comprehensive information and is required to be efficient in a range of administrative roles to support the CHC Team to facilitate service delivery accurately and in a timely manner.
  • Act in supervisory capacity to Administrative staff in the department on a band 3 and reporting relevant issues to the team manager. The post holder will be expected toprovide comprehensive/complex data reports to the CHC Manager Central area from the information and tracking of information on the Broad care Database.Ā 
  • The post holder will be expected to provide comprehensive administrative support to the Band 6 & Band 7 Nurses to address the corporate and strategic requirements of the management of Continuing Health Care across the Central area.

    Detailed job description and main responsibilities

  • Integral to this role is the management, maintenance and training for the Broad care databasewhich is a software platform specifically designed for organisations to manage NHS-funded continuing healthcare.
  • The post holder will be expected to be a Broad care Super user which would involve support, advise, guidance and training within the team or for existing and any new members of staff including Nurses for the Broad care system. This would also include training on any updates to the system.
  • The post holder will be expected to train and supervise Bank or Agency administration staff and any additional Administrative posts
  • Manage the departmental BCU application mailbox and carry out appropriate action using Broad care.
  • Arrange nursing reviews/ Multidisciplinary Meetings on behalf of the CHC Team and send out nursing review letters to all appropriate persons. Enter review and appointment onto Broad care and update CHC Nurse Reviewer Diary on Outlook.
  • Support the nursing staff to enter new applications onto the system checking that each application has the necessary documentation
  • The post holder will be expected to peer support CHC Staff in the ongoing development of the Broadcare case management system to include the CHC External Referral Portal.
  • To arrange complex Multidisciplinary Meetings with representatives from a wide range of partner organisations to include Primary Care, Local Authorities, legal professionals and families on behalf of the CHC Operational Lead.
  • Deal efficiently and courteously with all staff members including internal and external governing bodies.
  • Organise meetings, training and peer support sessions as required for the team to include Train the Trainer for CHC Nurse Reviewers with the CHC Broadcare case management data system.
  • Arrange and manage efficient databases ensuring compliance with information governance procedures and processes.
  • Deal efficiently with all correspondence by letter, e-mail ensuring timely responses to a wide range of agencies.
  • Assist the CHC Operational Lead in improving administrative systems and processes concerning CHC.
  • Arrange efficient contacts lists and develop a understanding of medical / nursing / GP/ Local Authority records.
  • Maintain an up to date issues list for the CHC Operational Lead to focus on immediate issues / concerns regarding CHC Databases.
  • Develop expertise in the management of the CHC database as a Broadcare Champion.
  • Arrange regular complex reports for the CHC Operational Area Leads.
  • Assist in the production of reports for the CHC Operation Lead, Areas, Executive Leads and the Board if required.
  • Manage CHC Processes for the Broadcare Case Management Database System and update any new processes and implement in the wider team.
  • To provide and receive highly complex information by e-mail, letters, reports etc and ensure that the CHC Operational Lead is made aware of any breach in Information Governance.
  • Prepare agendas for all panels and meetings.
  • Ensure access to CHC information for the general public (CHC Leaflets).
  • Acting as a central point of contact for the department, liaising with Nursing Teams, Adult Social Care, Care Providers and relatives.
  • In depth knowledge of Broadcare case management software which is used solely to gather all CHC data and become Broadcare Champions to be able to support staff members in Train the Trainer and deliver new processes.
  • Experience in developing and maintaining administrative systems including databases and spreadsheets.
  • Advanced Keyboard skills required for the use of the Broadcare case management system / managerial reports / minute taking.
  • Knowledge of office procedures, e.g. receipting, acknowledging, tracking and filing of records.
  • Knowledge of applicable legislation pertaining to CHC and Information and Database Security.
  • Knowledge of legal issues regarding authority to act (LPAs).
  • More recently due to the transition to a paperless system and Broadcare case management software becoming the only CHC Case Management tool as per welsh Audit recommendation for daily administrative processes, detailed below are the duties.
  • Due to the specificity of Broadcare; specialist knowledge can only be acquired in-house through on the job training as this specialist Case Management tool is only used by the BCUHB CHC Teams. Central to this is the support of the individual case management software and associated performance management tools implemented in 2018 with ongoing implementation, development, user support and maintenance requirements.
  • Develop expertise in the management of the CHC Case Management Tool, becoming a systems administratorand a Broadcare Champion .
  • The Health Board should make arrangements to ensure its CHC teams use the Broadcare IT system effectively and consistently (this is a Welsh Audit recommendation for CHC).
