Main duties of the job

Work collaboratively on a day-to-day basis with others and contributes to the smooth and efficient running of the service by:

  • Provide a reception service to all patients, staff and visitors attending the Urgent Primary Care Centre
  • Deal with telephone calls, enquiries and relay messages in an efficient manager as service standard, processing urgent referrals
  • Booking and accessing referrals and enter onto the patient administration system
  • Process and distribute incoming and outgoing mail
  • Undertake administrative duties in support of the Operations & Admin Manager
  • Participate in quality assurance and audit of the UPCC service for future development
  • By the nature of the duties, the post holder will be required to main strict confidentiality and will be expected to deal with patients, carers, relatives, Primary Care Contractors (GP Practices/Community Pharmacies) , external contractors/manufacturers and other visitors to the Centres, in person and in writing, with courtesy and discretion.

    Proficient IT skills (including experience of Microsoft office) is also required as the post holder will also be undertaking a variety of administrative duties to assist in the smooth day to day running of the Urgent Primary Care Centre Service, including data inputting. Knowledge of medical terminology would also be an advantage.

    The ability to speak Welsh is essential for this post.

    Essential criteria

  • GCSE standard in English and Maths [grade c or above] or equivalent
  • NVQ level 2 Business Administration/Customer care or equivalent /experience
  • IT related qualification (CLAIT plus/ECDL) or proven experience using Microsoft Office packages
  • Desirable criteria

  • NVQ 3 Business Admin/Customer Care And/or RSA level 3 or equivalent ECDL
  • Understanding of basic Medical Terminology
  • Experience

    Essential criteria

  • Experience of a range of secretarial procedures and practices with a base level of theoretical knowledge
  • Experience in dealing with the general public/patients on the telephone and face to face
  • Desirable criteria

  • Previous experience working within a busy administration environment or GP Practice

  • Ability to work without supervision, with own initiative, whilst understanding the need to seek advise when necessary
