Provide administrative cover for a variety of clerical roles as directed by the Service Manager. These roles include the ward clerks, reception, appointments clerk and the medical secretaries.

Deal with enquiries, either on the telephone or face to face, from medical staff and the public concerning appointments and the admission, transfer and discharge of patients, referring them to an appropriate person as necessary.

Take clear, concise and accurate telephone messages and ensure that they are relayed to the appropriate person in a timely manner.

Using keyboard skills to type clinic letters, input information timely and accurately on the Welsh Patient Administration System (WPAS) including:

Registering a patient

Amending demographics

Tracking medical records

Admit and discharge patients

Create/cancel appointments

Detailed job description and main responsibilities

The post holder will provide comprehensive administrative support for the obstetrics & gynaecology team. There will need to be a high degree of flexibility as this role will provide cover for the various administrative roles which include reception, antenatal appointments, ward clerk duties and typing support for the medical secretaries.

Timely and accurately retrieve casenotes from other areas of the hospital and maintain an efficient filing and recording of information systems to meet the needs of the service.

Assist in the management of waiting lists by checking inpatients are admitted/discharged and outpatients are added/removed from waiting lists as appropriate.

Provide face to face non clinical advice and information to patients, ie patient transport, directions etc.

Use email and internet services as required, including the use of electronic diary.

Undertake such miscellaneous clerical duties as become necessary, eg photocopying, data input, ordering stationery etc.

Deal with incoming and outgoing mail, ensuring that mail is distributed accordingly.

Undergo any training relevant to the job role

Assist in the induction and training of new and relief staff, demonstrating duties.

To be aware of health and safety issues and act in a way that would not compromise others.

Qualifications and Knowledge

Essential criteria

  • GCSE English and Maths Grade C and above
  • RSA Level 2 or equivalent qualification/experience
