The Governance Administrator will work in an administrative role under the management of the Governance Midwife and in conjunction with the Maternity Clinical Risk Manager and perform the following functions:

  • To provide an efficient and confidential high level administrative service to the Maternity Governance Team
  • The post holder will be required to demonstrate excellent organisational and administrative skills and have the ability to work independently using discretion, judgement and critical analysis.
  • Supporting the Maternity Governance Team with the management of projects, gathering information and undertaking enquiries as and when necessary for the Maternity Governance Team

  • Main duties of the job

    Main duties:

  • Highly motivated and enthusiastic individual to provide and coordinate administrative and secretarial services; including for example the preparation of agendas, minutes and action trackers, taking appropriate follow up action(s) as required.
  • Supporting the team to ensure compliance with NHS Resolution, Healthcare Safety investigation Branch (HSIB), CQC and CQUIN targets and goals particularly in relation to the functioning of the risk register, incident reporting, complaints and claims.
  • Working closely with the Maternity Governance Team in developing an integration of risk systems in order to deliver key strategic and operational objectives.
  • Working closely with the Maternity Governance Team to undertake administrative duties such as photocopying, faxing and mail-out distributions.
  • Ensuring that all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
  • Inputting, monitoring and checking data required for finite and ongoing projects within the safety team.
  • Working with all team members in the collection of information for performance reporting on relevant team projects.
  • Acting as the point of contact for teams, dealing with and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
  • Providing support to the Maternity Governance Team for any additional departmental activities and tasks on request.

    Education / Qualification

    Essential criteria

  • GCSE Maths and English or equivalent.
  • Diploma in business or administration or equivalent or has relevant experience to equivalent to diploma level.
  • Desirable criteria

  • Certificate in European Computer Driving Licence (ECDL) or willing to attain qualification.
  • Skills / Abilities

    Essential criteria

  • Ability to communicate effectively both verbally and in writing to a range of people in a range of settings and using a variety of media.
  • Ability to use IT.
  • Ability to apply learned knowledge appropriately.
  • Ability to manage workload and prioritise appropriately
  • Experience

    Essential criteria

  • Recent, relevant experience working in an office environment within a healthcare setting
  • Experience in setting up simple databases
  • Experience of developing and delivering office administration and secretarial procedures
  • Desirable criteria

  • Experience of working in a maternity unit
  • Knowledge of NHS administration and secretarial systems
