Main duties of the job

The main duties of the Claims Administrative Assistant will be:

  • Point of contact for the Claims Team by telephone, e-mail, and correspondence or for visitors
  • Deal with enquiries , message taking and redirecting as appropriate, from staff, and Solicitors
  • On a daily basis log all claims received onto DATIX ensuring that files are opened correctly and that all information is uploaded onto the system
  • Open and distribute incoming mail on a daily basis
  • Ensuring that paperwork is filed appropriately both electronically and manually
  • Access patient information in relation to claims from BCUHB software e.g. PIMS
  • Schedule and arrange venues for training courses as required.
  • Provide administrative support in respect of the Concerns Team function.
  • Work with other members of the wider Concerns Team to provide support as required.
  • Provide cover for other administrative staff within the Concerns Team in their absence.
  • Maintain the strictest confidentiality and discretion at all times.
  • Photocopy case notes, correspondence and meeting papers ensuring that they are copied correctly and in an orderly manner
  • Ensure that data is kept up to date and is correctly saved
  • Schedule, organise and arrange venues for meetings as directed by the Senior Investigations Manager and support the Claims Manager
  • Undertake such other duties as may be required from time to time, commensurate with the title of the post.

    Essential criteria

  • ECDL or equivalent experience of working with Microsoft Packages to include Access, Excel and Word
  • Educated to GCSE level or equivalent
  • Experience of using databases
  • Ability to work to agreed timetables/deadlines
  • Ability to develop and sustain relationships with a wide range of individuals and within groups
  • Excellent numerate, oral and written skills
  • Excellent communication skills and ability to take/record formal record of meetings
  • Able to prioritise own workload
  • Knowledge and understanding of the NHS
  • Flexible to the business needs
  • Ability to prioritise own work against a background of change and uncertainty

  • Qualitications

    Essential criteria

  • Educated to GCSE level or equivalent
  • To work in the UK, all candidates who are not UK or Republic of Ireland (RoI) nationals require sponsorship to obtain either a Health and Care visa or Skilled Worker visa , unless you have permission to work via another route.
