Job Description

Receive visitors to our Wapping site in a courteous and welcoming manner, ensuring all appropriate Health and Safety and Security procedures are always complied with. Manage the site diary ensuring all activity is captured and recorded. Provide monthly reporting

You will be the main go to for all site visitors, contractors and staff so understanding the building and its local processes will be essential.

Always behave professionally and appropriately.

Ensure the reception area is welcoming, clean, tidy and free from clutter.

Greet all visitors promptly and appropriately, by asking their name and confirming identity of the person they have come to meet.

Ensure all visitors have their ID checked prior to signing in, then issue with a visitors pass.

Ensure all contractors have their ID checked prior to signing in, then issue with a visitors pass and have the appropriate paperwork where necessary.

Responsible for controlling the security of the building facilities to an acceptable company standard; including liaising with the security providers at the start and end of each working day sharing appropriate handover notes.

Answer all telephone calls as quickly and efficiently as possible, ideally within 3 ring cycles, and deal with them in a professional, polite manner. Program all access passs in advance of customer/visitor’s arrival where possible.

Schedule, co-ordinate and organise meeting rooms as required.

Assist with general site administrative tasks as required and preparing for monthly reporting.

All reception information must be updated regularly and should be easily accessible.

Maintain a strict process with all card/keys issuing, all entries must be added to the key register

Liaise with dedicated customers when 3rd party access is required to suites and data centre

Perform any other duties as required by the Centre Manager to ensure the site is always fully operational and prepared for customer invocations

Qualifications

Experience of working on a reception.

Excellent telephone technique.

Good communicator

PC Literate

Good organisation skills

Ability to prioritise
