Overall Purpose of Operations Executive role

Provide high quality administrative and operational support to ICAEW staff and our active members, ensuring our technical policy and leadership activities achieve maximum impact in efficient, engaging, and modern ways.

This role will sit across two business areas, namely Belonging and Supporting and the second being Reputation & Influence

Belonging and Supporting – Communities – We support our members from admission until they cease to be members, regardless of geography, covering all aspects of professional life as a Chartered Accountant. As a department, we maintain and develop the member experience and value of membership by providing timely and relevant content, resources and networking opportunities, to continue to engage with our members and member firms on critical issues and topics.

The Reputation and Influence department of ICAEW is the source of future thinking, policy, and knowledge for the accountancy profession in the UK and wider afield. As part of a busy, dedicated, and proactive Operations team the candidate will support several the key accountancy R&I areas, enabling them to continue the world class work they do, supporting our strategic themes.

Responsibilities of Operations Executive

Reporting to Operations Manager, the post holder is responsible for

  • Organising all board and committee meetings for specific areas allocated to them
  • Ensuring agendas and meeting papers are collated and circulated in a timely fashion
  • Taking minutes for all board and committee meetings and to ensure timely review and sign-off of these by the respective board/committee Chair
  • Maintaining an accurate and up-to-date overview of each board/committee composition and providing operational support during the committee review process
  • Providing general administrative support including room bookings, raising POs and organising travel.
  • Supporting operations and administrative colleagues at peak times and providing cover in their absence for holiday or sickness.

Specific duties will vary from time to time in line with the needs of the business.

Candidate Requirements for Operations Executive

  • The role requires an ability to manage a busy operational workload and understand the needs of technical staff within their assigned internal customers and the nature of technical activity across Reputation & Influence.

  • Confidence and interpersonal skills to deal with senior level representatives of the accountancy profession, attend and minute committee meetings where necessary, and the ability to work closely with other areas of the ICAEW.

  • Excellent team working skills in particular the ability to persuade, influence and collaborate within Reputation & Influence, Executive Office, and other departments.

  • Good communication skills, (both oral/listening & written), and a high standard of presentation and accuracy are essential including experience taking committee minutes.

  • Operational support must be flexible in the tasks allocated, be innovative and practical, can identify and implement practicable solutions to issues and have a conscientious attitude towards work.

  • Must ensure that quality standards are maintained and that they can set and meet deadlines. Tact and diplomacy are required when dealing with volunteers and members as is the ability to work well under pressure and prioritise tasks where necessary.

Strong working knowledge of Microsoft Word, Excel, PowerPoint, and Office 365 Teams and SharePoint, as well as CRM and Pro is required.
